At Beverly Hills Braces, each appointment is personally reserved for you by Dr. Sid Molayem and our team.

We ask that you give us advance notice when you need to cancel or reschedule, so that we can continue delivering the exceptional, on-time care that over 10,000 patients have come to trust since 1987.

Why This Policy Exists

Orthodontic treatment is time-sensitive. Whether you are progressing through Invisalign clear aligners, traditional braces, or a retention plan, each visit plays a critical role in keeping your treatment on schedule and protecting the results shown in your 3D smile simulation.

When appointments are missed or cancelled without adequate notice, it creates gaps in care that can delay your treatment timeline — and prevents other patients from receiving timely attention. This policy is designed to be fair, transparent, and considerate of everyone's time.

Cancellation Policy

1. Standard Cancellation Notice

All appointment cancellations or rescheduling requests must be submitted at least 24 hours before your scheduled appointment time. This gives our team sufficient time to offer the slot to another patient in need.

2. Missed Appointment & Late Cancellation Fee

$45 Cancellation Fee — Effective from the 3rd Missed AppointmentA $45 fee will be charged for any appointment not cancelled or rescheduled at least 24 hours in advance. This fee is applied beginning with the 3rd missed or late-cancelled appointment. Your first two occurrences are extended as a courtesy — no fee will be charged. The $45 fee is not covered by dental insurance.

Note: A "missed appointment" is defined as any appointment where the patient does not attend and fails to provide at least 24 hours advance notice of cancellation or rescheduling.

3. No-Show Policy

A "no-show" occurs when a patient fails to appear for their scheduled appointment without any prior contact. No-shows are tracked and count toward the missed appointment threshold above.

Patients with repeated no-shows may be subject to one or more of the following:

  • Requirement to pre-pay for future appointments at the time of booking
  • Restriction to call-ahead scheduling (no advance booking)
  • In rare cases, discharge from the practice at the discretion of our team

Rescheduling Policy

We always encourage patients to reschedule rather than cancel outright, as maintaining treatment momentum is key to achieving your smile goals on time.

  • Rescheduling must also be completed at least 24 hours before your appointment to avoid a missed appointment count.
  • Same-day rescheduling requests are treated identically to same-day cancellations and will count toward your missed appointment record.
  • We will make every effort to accommodate your preferred day and time, subject to availability at our Beverly Hills and Encino locations.
  • Rescheduling more than three times for the same appointment may result in restrictions on advance booking.

Emergency & Exception Policy

We understand that life is unpredictable. Genuine emergencies — including sudden illness, accidents, or family crises — are handled with compassion on a case-by-case basis.

If an emergency arises, please contact us as soon as possible — even if it is the same day of your appointment.

  • Medical emergencies supported by documentation (e.g., a doctor's note or hospital record) may be considered for a fee waiver at the practice's discretion.
  • Court dates, work emergencies, and severe weather conditions may also be considered.
  • All exception requests must be communicated directly to our office management team.

Late Arrival Policy

We kindly ask that all patients arrive on time for their appointments. Arriving late limits the time our team has to provide your full treatment and may impact other patients scheduled after you.

  • Patients arriving more than 15 minutes late may have their appointment shortened or may need to be rescheduled.
  • Appointments cannot always be extended due to back-to-back patient scheduling.
  • Repeated late arrivals (3 or more) may be treated as a missed appointment at the practice's discretion.
  • If you are running late, please call us in advance so we can plan accordingly.

Minor Patients & Guardian Responsibility

For all patients under the age of 18, the parent or legal guardian is fully responsible for:

  • Ensuring timely attendance at all scheduled appointments
  • Providing at least 24 hours advance notice for any cancellations or rescheduling
  • Communicating directly with our office regarding any changes

Any applicable $45 cancellation fees will be applied to the responsible party's account and must be settled before the minor patient's next appointment is confirmed.

Impact on Treatment Progress

Consistent attendance is one of the most important factors in achieving timely, successful orthodontic results. Missed appointments can have direct consequences on your treatment:

  • Delayed tooth movement and extended overall treatment time
  • Increased risk of complications such as bite shifts or aligner misfit
  • Potential need for additional appointments or appliance adjustments, which may incur added costs

We work hard to schedule appointments at intervals that are clinically appropriate for your specific treatment plan. Skipping or delaying visits disrupts this carefully designed timeline.
